Communication Policy

Last updated 2026-08-26 (version 2026-08-26.1)

This policy describes how automated outreach behaves in Qualified Leads AI and what the account holder is responsible for. It is a product policy, not legal advice.

Suppression is enforced server-side

  • Every automated message passes a server-side eligibility gate before a provider is called. A suppressed recipient, a missing lawful basis, a disabled channel, an unverified sending configuration, an exceeded rate limit or an active kill switch each block the send.
  • Suppression is recorded per recipient and applies to all future automated contact from the account, across channels where the identifier matches.
  • A blocked or failed send is recorded as a failure. It is never recorded as a contact.

Do-not-contact records

  • Records marked do-not-contact are excluded from automated outreach and cannot be re-enabled by editing a message, changing a channel, or retrying a sequence.
  • The automated system does not contact suppressed or do-not-contact records under any outreach mode, including approval-required and autonomous modes.

Opt-out and unsubscribe

  • Commercial email includes a working unsubscribe mechanism, including one-click headers, with signed opt-out links that cannot be forged.
  • An email unsubscribe suppresses further automated email to that address.
  • Replies indicating disinterest end the sequence rather than triggering follow-ups.

Email practice (CAN-SPAM concepts)

  • Sender identity is accurate: legal sender name, a valid reply path and a physical postal address.
  • Subject lines describe the message honestly; no deceptive headers or false origin.
  • Opt-outs are honoured promptly and permanently by the automated system.

Telephone practice (TCPA awareness)

Automated voice calling is subject to consent, time-of-day and registry rules that vary by jurisdiction. Qualified Leads AI does not use SMS as an outbound channel. The application enforces quiet hours, attempt caps and suppression for supported outreach, but it cannot determine your legal basis for you. Enabling voice outreach is a decision the account holder makes and is responsible for.

Customer responsibility

  • Maintaining a lawful basis for contacting each recipient.
  • Complying with federal, state and local marketing, telemarketing, privacy and real-estate rules.
  • Providing accurate sender and business identity information.
  • Honouring any opt-out received outside the application by recording it in the account.

Prohibited abuse

  • Contacting suppressed, opted-out or do-not-contact records by any means through the system.
  • Misrepresenting identity, authority, affiliation or the purpose of the contact.
  • Harassing frequency, deceptive offers, or bypassing rate limits and quiet hours.
  • Uploading purchased or scraped contact lists as consented contacts.
