How to find motivated seller leads without buying lists
Bought lists are shared, stale and unqualified. The durable alternative is to build lists yourself from public records, then spend money only on the leads your own filters already like.

1. Define a buy box you can actually filter on
A buy box is only useful if every criterion maps to a field you can query: county or ZIP, property type, bed and bath range, year built, living area, lot size, and a maximum purchase price. Vague criteria (“good neighbourhoods”, “light rehab”) cannot filter a list, so they end up filtering nothing and you review everything by hand.
2. Start with county records
County assessor and tax collector data is the primary source for ownership, assessed value, transfer history and tax status — and in most counties it is public. Two things matter when you use it:
- Use the county’s bulk or open-data files rather than scraping parcel-lookup pages, which is usually prohibited by their terms.
- Normalise the parcel identifier (APN) properly and never treat a tax account number as an APN — that is the fastest way to attach one owner’s distress signal to another owner’s property.
3. Layer objective distress and equity signals
Records-based signals rank a list before anyone has spoken to you. The ones that carry the most weight:
- Tax delinquency or default — an unpaid balance is a dated, verifiable fact, not an inference.
- Equity position — assessment and mortgage data give you a workable estimate of whether a discounted sale is even possible.
- Absentee ownership — a mailing address far from the property changes both motivation and how you reach the owner.
- Long tenure with no recent transfer — often correlates with deferred maintenance and a wide price gap versus retail comps.
- Inherited or estate transfers — multiple decision-makers and a property nobody wants to maintain.
Cap how much any single signal can contribute. Tax distress alone should not make a lead HOT; it should make it worth a conversation.
4. Qualify before paying for contact data
Skip tracing and phone enrichment are per-lookup costs. Run your buy box and your records filters first, and only pay when the missing piece is the thing standing between you and a contact attempt. Track hit rate and cost per contact by provider so routing is based on observed performance rather than a sales claim — and treat a provider you have barely used as unproven rather than excellent.
5. Contact compliantly, then re-score on every answer
Before any call: screen against do-not-call status, respect the calling window in the property’s local time zone, and honour every opt-out permanently. Then treat the first reply as data — timeline, price expectation and decision authority should update the lead’s score immediately, so tomorrow’s call list reflects what you learned today.
What this looks like automated
Qualified Leads AI runs steps 1–5 as one pipeline: buy-box filtering, county and property data ingestion with deduplication, cost-aware enrichment that only spends when a decision depends on it, automatic qualification and re-scoring, and compliance-gated outreach across email and voice. You approve the deals; the pipeline does the sorting.
