Privacy Policy

Qualified Leads AI is operated by VETFIXGOV LLC. This policy describes the data the application actually processes today, why it is processed, and how it is separated between accounts.

Data we process

• Account data — your name, email address, business details, authentication records and account settings.
• Property and public-record data — parcel, address, assessment, ownership and related records obtained from third-party property-data providers and public sources, together with the raw provider payload retained for provenance.
• Seller and contact data — owner names, mailing addresses and, where a contact-enrichment provider returns them, phone numbers and email addresses, each stored with its source, retrieval time and confidence.
• Qualification responses — answers a seller submits through a qualification link you send.
• Communications metadata — message subject and body we generated, send state, provider message identifiers, bounces, replies, opt-outs and suppression records.
• Payment metadata from Stripe — subscription status, price identifiers, checkout and payment references, amounts and billing period. Card numbers are handled by Stripe; we never receive or store them.
• Audit and security logs — actor, action, entity and timestamp for sensitive operations, including approvals, spend and communication events.

Why we process it

To operate the service: sourcing and qualifying opportunities, scoring motivation, enriching contacts, preparing and sending outreach you have authorised, underwriting deals, preparing contract-ready packages, billing the subscription and success fees, providing support, and maintaining security and auditability. We do not sell your data.

Sharing with providers

Data is shared with the processors the application depends on, limited to what each needs: the hosting and database platform, the payment processor (Stripe), the email delivery provider, property-data providers, contact-enrichment providers, and the AI model gateway used to draft copy and analysis. Property and contact lookups send identifying property or owner details to the relevant provider in order to obtain a result.

Website analytics

We use Google Analytics to understand visits to our marketing and signup pages, traffic sources, signup activity and completed initial subscription purchases. Google Analytics uses cookies and receives page, referral, device and event information. Purchase events include an order reference, currency and amount. Our conversion events do not include names, email addresses, passwords, property records or qualification answers. Google advertising personalization and Google signals are disabled in this integration.

Account isolation

Every record is scoped to an owning account at the database level. Row-level security policies, ownership triggers and immutability constraints prevent one account from reading or writing another account's leads, packages, approvals, transactions, settings or communications. Qualification links are single-use, expiring, and stored only as hashes.

Retention and deletion

Account, lead, communication and billing records are retained while your subscription is active and afterwards where needed for audit, tax, dispute or legal-obligation purposes. Suppression and opt-out records are retained specifically so that a request not to be contacted can continue to be honoured. You may request export or deletion of your account data through support.

Security

Secrets are held server-side only and are never exposed to the browser. Privileged database access is confined to server code. Sensitive operations are recorded in an append-only audit trail, and paid or automated actions can be halted immediately by an administrative kill switch.

Seller and consumer contacts

Where a property owner's data is processed, our customer is responsible for having a lawful basis to contact them. Opt-out requests received through our messaging are recorded as suppressions and block further automated contact. See our Communication Policy.
